Transition of project

Once project is awarded, the following items are needed from the Estimator prior to transitioning project to Preconstruction and Project Management.

Set up a meeting to fully explain all the intricate details of the project.

  • Owner contact information (Corecon)

  • Project address (CoreCon)

  • Final copy of plans and contract specifications (CoreCon)

  • Copy of the executed contract / Scope of Work (CoreCon)

  • Budget / Estimate review- Review any changes in proposal with Project Manager/ Pre-Con.

  • Special notes relating to the project during the Sales / Estimating

  • Copies / access to any RFI during the bid process (CoreCon)

  • Provide tentative start date- Biz Dev

  • List of specialty lead time items

  • List any preferred trade partners for project (i.e. customer trade partner relation, trade partner preference on project)- Director of Pre-Construction

  • Site access special concerns

  • Design team information

  1. PROJECT HANDOVER FROM SALES TO PROJECT MANAGER

    ALL REQUIRED

    • Meeting to include salesman, Estimator, Director of Pre-Con, Project Manager, and Superintendent.

    • Owner contact person for Project Manager and Superintendent

    • Project address.

    • Final Copy of plans. Need the date of the most recent set of plans (CoreCon)

    • Review plans in the turnover meeting to review notes / special conditions, differences in bid plans vs Executed plans, etc.

    • A detailed review of MEP drawings for equipment, ductwork, electrical outlets, etc.

    • Copy of the Executed contract /proposal.

      • Review the Scope of work in detail to understand what's included/ excluded.

    • Review the estimate / budget line by line with a description of the work.

    • Review photos and video walkthroughs completed thus far.

    • Copies of any special notes relating to the project

    • Copies / access to any RFI’s during the bid process

    • Review notes/anything that was promised to the client.

    • Provide a tentative start date, (can be quarterly/year)

    • A list of any specialty / long lead items

    • List any preferred trade partners for the project, (i.e. customer trade partner relation, trade partner preference on the project)

    • Site access concerns

    • Design team information if any

    • All of the above information shall be stored in our Estimating folder and a Handover Document needs to be created for this process, which will be filled out in the meeting.
